People
When members leave a committee but you want to keep their contact info you can now easily move them from the members section to the contacts section. Once moved, the member will no longer be able to access the committee web site. The other way around is also possible (make a contact a member). This new feature is available on the people page.
Emails to members/contacts are now sent from messages at mycommitteedotcom on behalf of the sender.
Meetings
All meetings can now be deleted (or moved to the recycle bin) by a chair or committee admin even if the status of the meeting is final with approved meeting minutes. This allows for committees to do their own house keeping!

Committee tasks
Committee tasks can now be created manually (you need to be admin to do this). On the tasks page, click on 'New committee task' and enter the details. The page allows you to create identical tasks for multiple (or all) members in one step.
You can, for instance, create a task for all members to print and review an uploaded document and return a signed copy.
Note: Committee tasks are still created automatically when you add an action with a future due date to the meeting minutes!

Rich Text editing
Messages, comment and notes can now be edited in rich text including lists and hyperlinks.
A few tips for people that are new to rich text editing:
- Press enter to start a new paragraph
- Press enter while holding the shift key to start a new line in the same paragraph.
- Instead of pasting long links in the text, highlight the section of the text you want to be the link and click on the 'link' icon. Paste the real link in the popup window.

Improved Discuss Section
The user interface of the 'Discuss' section is reorganized. You will now find all message related functionality under the new 'Messages' tab.
A new feature allows you to move old messages from your inbox to the archived folder and keep your inbox clean.
Improved Agenda/Minutes PDF
The agenda and minutes PDF documents got a face lift to include more information with improved formatting.
Another new feature is the option to print agendas with notes and comments.

New PDF Documents
You can now print an attendance sheet for each meeting that allows you to easily record member and guest attendance. You can find the link to this document on the agenda page. On the 'people' page you can download a new PDF version of the member list including functional role information for each member.

Improvements to the tasks section allow committee admins and/or chairs to edit or even delete (not recommended) committee tasks assigned to other members

Document Notification
Get notified by email when a member uploads a new document. Notification options are the same as for comments and messages (immediately, daily/weekly digest or no notification). Settings can be changed in the preferences section of 'my profile'.
Invoice Billing
Another requested feature is the option to get billed by invoice if credit card payments are not an option for your organisation. Due to the extra overhead, this option is only available with annual billing and can be selected on the checkout page.

Member Profile
A new field for mobile phone number makes it easier for people to contact you. Another new feature is the option to upload a profile picture that will be displayed next to your information on the people page and in the detailed contact information popup window.
Changes have also been made to the agenda and minutes wizards and other main pages to improve usability.

Discuss a document with your members and keep all comments directly attached to the document. Comments can be accessed through the 'comments' link below each document on the documents page or from the comments page. Notifications of new comments are sent according the comment notification preferences in your profile.

Subcommittee access
Check out how your subcommittees are doing with just a few clicks
All committee members now have read-only access to the most important information from your subcommittees. You can check their activities (previous/next meeting), view a list of members, view and downlaod a copy of the meeting minutes and create/download a custom list of resolutions. (You don't need to be a member of the subcommittee to access this information).
Parent and subcommittee relationship can be set on the first page of the committee setup wizard!

when-to-meet
Trying to setup a meeting with a group of busy people can be a real challenge!
'when-to-meet' for committees is a brand new tool that allows you to quickly agree on a meeting date with your entire team without having to send endless emails. Simply select the possible dates from the calendar, add some notes and send a notification email to all members. The email contains a link members can use to confirm their availability (or suggest other dates) directly online. You can choose to receive one or more notifications to follow up and set the final meeting date.
You can access 'when-to-meet' directly from the meetings page or from its own home page under the main tools menu.

Committee Setup Wizard
Setting up your committee has never been easier. The new wizard will guide you step by step through all possible settings
A brand new option and introduction to a more flexible agenda is the 'agenda template' setup. In addition to entering your standing items you can now also change the default name of every section of the agenda to match the terminology used by your organization.

Resolutions
Under the tools menu, there is an improved resolutions screen that allows you to create custom lists of resolutions. On top of that, you can now also export and save any custom list of resolutions in a selected format to your local computer. The formats supported are PDF, CSV and XML.
Another change to resolutions is a new custom field: 'Resolution Number'
Date/time format and time zone
The format of dates and times can now be set in the personal preferences section of your profile. Click on your name or the 'my profile' link in the top right corner of any page to access this section and choose your country and language.
The time zone is fully implemented and now all dates and times are shown relative to each individual user's time zone. Make sure your time zone is set to see the correct meeting times!

Messages
When you are writing a long message it can sometimes be handy to save a draft version. New with this version is the option to save a new message or a reply to an existing message as draft. The message will be save to your drafts folder and you can continue (or delete) the message later.
PDF Documents
If you uploaded your own logo in the committee settings, it will now also appear at the top of all generated PDF documents (agendas, minutes).

My Other Meetings
We all know how difficult it can be to get a group of busy people together in a meeting room! A brand new feature in 'My Other Meetings' is the option to propose several meeting dates (and times) when you schedule a new meeting.
You can create an agenda, attach meeting documents, etc. like before but instead of setting a fixed meeting date and time, you select several possible meeting dates from a calendar and send a notification email to all participants. The email contains a link to the online agenda where participants can confirm their availability. You can choose from several options to be notified of the responses.
Once you have all (or enough) votes you can confirm the meeting date and send a final meeting invitation. This final email again contains a link to the agenda where now people can RSVP.
Another new requested feature in My Other Meetings is the option to mark participants 'required' (=default) or 'optional' to the meeting.
Agenda Items
We know that in some cases we can end up with deferred and/or parked items that were never completed and kept for such a long time that finally they don't make sense anymore. Now there is an option to remove these items so they won't show up as old business each time you create a new agenda.
You can delete old business items on the 'View deferred/parked items' page (accessible from the meetings page) and click on delete item under the item you want to remove. The item will be moved to the recycle bin and from now on won't show up as old business when you create a new meeting.

Standing items, old business items in the Agenda Wizard
The agenda wizard has been modified to make it even easier to add or remove standing items and/or old business (previous business arising) items to the agenda. Now the wizard will show all standing items and old business items for each new agenda and you can simply select which items you want on the agenda by checking or un-checking the box in front of the item.
You can still manually add items to each section of the agenda (and delete them again if you made a mistake)
Dashboard page
The dashboard page got a small face lift to make it easier to notice upcoming meetings from your other meetings section and to better group individual committee activities for an easier overview.

Overview page
The overview page got a complete makeover and is now divided in four personalized areas:
1. The main area of the page is called 'Quick Summary' and here you will find anything that is expected from you for the most recent and/or next meeting like RSVP, approve the agenda, etc...
2. Below the quick summary is a list of all 'recent and upcoming activities'. (This is the same list that you could find on the old overview page)
3. The top right corner shows your notifications. This box contains anything that needs your attention like new comments, unread messages (more about this in the next section), upcoming tasks, etc.
You can simply click on a notification to see the details.
4. The box below the notification contains links to common tasks. The available commands are depending on your role in the group or committee.
We recommend to make the new overview page your committee home page to get a quick at-a-glance view of all activity when you jump to a committee from the dashboard page. (You can change this setting in your profile)
Messages
MyCommittee now has a complete message section making the use of external email obsolete. From now on, you can send messages to one or more members without actually using email. New messages will appear in the recipient's inbox and only the selected members will see and be able to reply to your message.
You can view your sent messages and there is a recycle bin for deleted messages.
Messages, that are in fact threaded discussions with selected members are in addition to 'comments' that are mainly used for open group discussions between all members about agenda or minutes items or any other group topic.
Messages, comments and personal notes are all integrated under the new 'Discuss' tab for easy access to all communication.
Similar to comments, you can choose how to get notified of new messages in your inbox. Available options are: immediately, a daily or weekly digest or no notification at all.
There is no limitiation in number of sent or received messages and only you decide which messages to delete or to keep.

View agendas and minutes without signing up
From your feedback we know that many organizations are having problems with getting all members signed up and using MyCommittee. Some people are just not ready yet or feel it as a privacy issue to register and use a web application. Even without 100% active member participation, MyCommittee will help and save you plenty of time already but the benefits really start to show when all (or most) members are actively using the portal.
From now on you can provide easier access to meeting agendas and/or minutes for your members.
On the committee settings page (Terms of reference section) you can indicate that members can view the online agendas and/or minutes without having to sign up or log on. When this option is activated, members will see the agenda or minutes immediately when they click on the link in the notification email. There is no need to sign up or even log in! This option is less secure than the default but acceptable for many organizations.
In the same section, you can also allow/disallow guests to access the online agenda and/or minutes in the same way. Note that guests can never access any other page in the portal
Member/Guest interactions are limited to RSVP (on the agenda page) and mark as read (on the minutes page). There is a 'sign up' or 'login' box on the page for members only who want to see or do more right away.
When the option is not selected (=default), members will need to sign up and log in before they can view a meeting agenda or minutes.Guests in this case will not be able to see the agenda or minutes at all (but can still receive a meeting notification email).
The wizards are back!
The easy-to-use agenda and minutes wizards are back as an integral part of MyCommittee. The wizards that made V1 of MyCommittee so popular have been completely redesigned to reflect the look and feel as well as the functionality of version 2.

The 'one page' agenda and minutes editing (or 'quick edit') is still available when you prefer to see and edit everything on one page but you can easily switch between the two editing modes.
Use the switch link in the right info box to toggle between editing modes. The system will remember your last choice for agendas and minutes separately so for instance you can use the wizard for agendas and the quick edit for the minutes.
Also new in this version is the 'What's new?' page available from the dashboard page. Because you are reading this means you found the link already.

Set your notification preferences
MyCommittee now has more choices to notifiy you of new comment or discussion postings. Instead of just 'on' or 'off', you can now choose to receive a daily or weekly digest notification email.
Customize your committee portal
You can now upload your own logo to replace the default MyCommittee logo in each of your committees. Go to the committee settings page and click on the 'Upload your logo' link in the info box on the right side.
The upload page has the required logo specifications and upload instructions.
New 'Quick Poll' feature
Get feedback or votes from your members instantly using the new quick poll feature. Create a quick poll with just a few clicks. Once saved, MyCommittee will send a notification email with a link to the quick poll to all members as well as create a task for each member to vote.
Quick polls can be public (all members can see the results) or private (only the chair and/or the requestor can see the results). You can add a closing date after which voting is no longer possible.
Other changes or new features in this version:
- Select new committee members from your contact list
- Search all categories at once (search page)
- Larger font on all pages
- Improved navigation by reorganizing the possible actions and replacing most action- icons with text links
